Yes, that’s right, our guide on how to survive FILEX doesn’t start on the actual event day, there are things that you need to do before you even get to the venue!
Plan your travel – there and back
First things first, you need to plan how you are getting to FILEX and how you are getting back home. Organising your travels prior to the event can save a lot of stress and a lot of time. If you are driving, it is also important to make sure that you know the route that you are driving. The last thing you want in the morning of FILEX is to get lost.
Plan your route
Your travel route isn’t the only route you should plan. You should also plan your routine at FILEX. There are many events on, speakers and presentations, and stalls on at different times of the day. To make sure that you don’t miss out on someone that you really wanted to see as speakers are on at different times, plan what time you will see them and set an alarm to notify you 10 minutes before they are due to present so you can start making your way to the venue or finish off whatever you are doing. This will really help to save your disappointment.
Pack your bag
Bringing a bag is an important tip on how to survive FILEX. It needs to be something that you are comfortable carrying all day (a backpack is a good idea), but can also fit all your essentials that you are bringing as well as the stuff that you are going to receive throughout the day. In your bag you should pack:
- Water bottle – a refillable one is preferable
- Snacks – granola bar, protein bar, fruit, nuts
- Notepad and pen
- Your business cards
While there is going to be food and drinks available, packing some snacks is a great way to avoid the long queues.
A notepad and pen is beneficial if you want to take down notes. If you are listening to speakers, you may want to write down the points that stand out to you during their presentation that you can always go back to. When you visit different stalls, you will be also presented with many products. Write down what you think of the products – the pros and cons – because by the end of the day, all your thoughts and opinions will most likely be mixed up and you will be unable to remember key points of these products. If you don’t have a notepad, you can always write these down on the back of their business cards so you can remember.
FILEX is great for networking. Whether you are an experienced personal trainer or just starting out, an owner that owns 5 gyms or just one, making new networks is always beneficial. To exchange details, the easiest way to do this is through swapping business cards so ensure that you bring yours – and plenty of them!
Have a budget (make sure you bring cash)
One of the best things available at FILEX is the exclusive expo sales on the best brands in fitness. However, this is an essential tip on how to survive FILEX AND your bank. Most of us are watching our expenses so having a budget is a good way to spend accordingly and not break your wallet. Also try to set aside spending money on travel (if you have to pay parking, public transport tickets, etc) and food and drinks. It is a great idea to bring cash as opposed to just relying on your cards. Cash will make sure that you are aware of how much you are spending and how much you have left. It is also just a lot more convenient and easier for cashiers to handle, especially when it is really busy and everyone is lining up to take advantages of the great prices.
What you wear can make a big difference to how you day goes. If you are not feeling comfortable, it can really bring down your day so make sure that you dress accordingly. Wearing loose clothing is always a good idea, as well as wearing sneakers or any shoes that you can walk all day in. This is an important note on how to survive FILEX – you WILL be walking a lot.

Ask lots of questions
When you visit different stores and such, don’t be afraid of asking questions about their products and services. By engaging with each vendor, you will be gaining a lot more insight into their product/service and you will get answers to the important questions such as whether this product has online sign ups, etc.
This brings us back to point 2 which is planning your itinerary. While you would want to see the people and stalls you want to see, there are so many more opportunities at FILEX. That’s what makes it one of the best health and fitness expos! So, point 7 on how to survive FILEX is to just be open-minded. You might find something that you didn’t expect to find, or see something that wasn’t in your planned itinerary, but that doesn’t make it any less valuable to you. Don’t miss out on great opportunities and try and see as many vendors as you can.
How to survive FILEX (After)
Nope, the day is not over yet. Here are some pointers on how to survive FILEX part 3: after.
Chances are that at the end of the day, you have a bunch of notes, business cards, clothes, products, accessories that you picked up at FILEX. While everything is still fresh in your mind, organise these things into categories for easy management later on. Put all the business cards on gym softwares in one pile, put your notes on speakers and presenters in another and so on. You will thank yourself later.
Follow up with vendors
Now that you have made contact with vendors, follow up on the ones that have stood out to you. Shoot them an email or give them a call to find out more about their service in a one-on-one conversation (aka without other people at FILEX trying to get in on your conversation).
Keep in contact with your new networks
As we mentioned before, FILEX is a great opportunity for networking. However, it is important to establish contact with your new networks as soon as possible. If you leave it for long, their memory of you may fade and you will become just another person that they met at FILEX.
